Blocking hotel rooms is very important if you are planning any large event that a lot of people are traveling to. Some of the reasons why you may block a group of hotel rooms would be anniversaries, weddings and even reunions. This is something that can be done in advance to give your guests plenty of time to plan for the occasion.

STEP 1: 

Decide how many people are going to be traveling to your event. Are guests traveling from a distance?  You will want to have a rough idea of how many people are going to be needing a hotel room before you make any blocks on rooms.

STEP 2: 

Give us a call or stop by and check on rates and availability for the event/wedding dates.

STEP 3: 

Once you make a decision on blocking rooms, call us. We will need just a few pieces of information, Group Name, contact information, number of rooms, room types, rates for the rooms, smoking preference, release dates for the block, and the event date(s). Once the group block contract is completed, it will be given to you for review.  Once you have reviewed it.  You must sign and mail/fax the form back to the hotel by the receive date.  If we do not receive the signed copy back by the receive date, the block will be released/voided.  Once we receive the signed copy, the Group becomes active.  A copy of the signed copy will be mailed to you for your records.

STEP 4: 

Once the Group Block has become active, Inform your guests of the room block. Please provide them of the dates of the block and the group name.  You may also want to to tell them about certain stay restrictions (if they apply to your Group Block).  You will want to let them know this information so that they can tell the hotel when they make their reservation.

- Please be aware of the Group/Wedding Block Release Date.  Rooms and rates are not guaranteed after the release date.

- Give us a call as the event dates gets closer to get a room count.  This will help you in planning on the number of Gift Baskets you will need (if you are planning on distributing them to your guests).

- After a Wedding Block has been established, please ask us for complimentary   "Special Wedding Rate Cards" to include in your Save-The-Date or in your Wedding Invitations.
